Responsibilities

We are currently looking for TWO new candidates, a junior and a senior legal assistant, to join our team and contribute to our dynamic legal operations.

 

For the senior-level role

  • Professional leadership of the Legal Assistant team, including oversight of workflows and providing day-to-day professional support
  • Coordination and approval of the Legal Assistant team's office presence, home office days, annual leave and overtime time-off arrangements
  • Continuous improvement and optimisation of assistant-related workflows
  • Scheduling and coordination of long-term or recurring administrative support processes
  • Active participation in the daily operational work of the assistant team

 

Both positions involve a broad range of legal and administrative support responsibilities, including

  • Supporting the work of attorneys and associates
  • Preparing and formatting Word documents, Excel spreadsheets and PowerPoint presentations
  • Preparing and filing submissions to courts and authorities
  • Managing electronic company registration procedures: ordering administrative fees (duties, publication fees), compiling and submitting filings, monitoring and receiving court decisions
  • Handling electronic administration with authorities and courts
  • Preparing documentation related to client due diligence and verifying identification documents
  • Managing the firm's Company Gateway (Cégkapu) and receiving official documents
  • Operating the firm's internal systems, including file opening, archiving, recording billable work and document management
  • Retrieving documents from official public registers
  • Managing virtual data rooms, including uploading and downloading documents
  • Formatting and editing documents and agreements
  • Preparing legal correspondence based on attorneys' instructions
  • Liaising with notaries, translation agencies, and occasionally courts and authorities
  • Performing administrative back-office tasks (filing documents, saving electronically received files, maintaining various registers)
  • Scanning, copying, printing and spiral binding
  • Transcribing from dictation (including in foreign languages)
  • Providing reception support and cover when required: handling calls, welcoming guests, managing incoming and outgoing mail, filing correspondence and registering invoices
  • Handling occasional external administrative errands (e.g. translation office or notarial matters)
  • Assisting with billing preparation when needed (retrieving and correcting performance reports)
  • Performing tasks related to the prevention of money laundering, terrorist financing and proliferation financing

 

Requirements

  • Proficiency in MS Office programs
  • Fluent in English (at least B2 or higher)
  • For the senior-level role, 3+ years of relevant professional experience

 

Nice to have

  • Professional qualification
  • For the junior-level role, previous professional experience is not required, but some relevant experience is considered an advantage
